User Management using the UI

Overview

User management in Minder Cloud allows you to invite users, manage invitations, and manage users.

User management is restricted to users with the Admin role. User's roles are scoped to a single organization, so a user can have different roles in different organizations. A valid scenario would be a user who is an admin in one organization and a viewer in another.

Inviting Users

To invite a new user to your organization, you need to:

  1. Identify the new user's role
  2. Invite the user to your organization
  3. Have the user accept the invitation

Identify their role

When adding a user into your organization, it's crucial to assign them the appropriate role based on their responsibilities and required access levels. Roles are documented here. Note that only a subset of the available roles are selectable in the UI.

Invite the user to your organization

Minder uses an invitation code system to allow users to accept the invitation to join an organization.

To add a user to your organization, follow these steps:

  1. Navigate to the User Management page.

  2. Click the Invite User button.

  3. Enter the email address of the user to invite and select the appropriate role for the user based on their responsibilities.

  4. Click Invite. The user will receive an email inviting them to join the organization.

Have the User accept the invitation

After clicking the link in the email, the user will be taken to Minder Cloud and asked to accept the invite. The user will then be added to the organization with the selected role.

Invitations will expire when used, or after 7 days, though users who have not accepted an invitation can be invited again. Once an invitation has expired, it will no longer function.

Managing Invitations

Invitations will be visible under the Invitations tab of the User Management page. An invitation will be active for 7 days from the initial invite. If a user has not accepted it within that time frame, it expires and becomes inactive. Inactive invitations cannot be accepted by the user. An invitation can be reactivated by resending it.

You may edit, resend or revoke an invitation.

  • Edit Role allows for changing the role before the invite is accepted. Changing the role will send the user an updated invitation.
  • Resend Invite re-sends the invitation email. An email will be sent at most, once every 24 hours.
  • Revoke Invitation cancels the invitation. Attempts to accept the invitation after revocation will result in an error.

Managing existing users

Users currently in the organization will be visible under the Users tab of the User Management page.

You may edit or remove a user, or leave the organization.

  • Edit User allows for changing the role of user.
  • Remove User removes the user from the organization. The user will no longer have access to any data associated with Minder Cloud.
  • Leave this project functions the same as Remove User, but is only available for yourself. You may not remove yourself if you are the last user in a organization.
